Internal Assessment Examination (CIA)

Policy Format And Guidelines

1. Objectives

The Internal Assessment Examination (CIA) system of Jeppiaar University is intended to ensure continuous evaluation of students’ academic performance, subject knowledge, learning progress and classroom participation throughout the semester.

To promote continuous learning and regular academic engagement, three CIA examinations shall be conducted in each semester, normally at the rate of one CIA examination per month during the prescribed three-month assessment cycle.

2. CIA Examination Pattern

Three Internal Assessment Examinations shall be conducted:

  • CIA – I

  • CIA – II

  • CIA – III

The marks obtained in the three CIA examinations shall subsequently be consolidated and converted to 30 marks for the purpose of final Internal Assessment.

3. Frequency of CIA Examinations

1. One CIA examination shall normally be conducted every month.

2. The three CIA examinations shall be scheduled within the academic calendar as:

  • CIA – I: First Assessment Month
  • CIA – II: Second Assessment Month
  • CIA – III: Third Assessment Month

3. The Examination Cell/Controller of Examinations shall notify the CIA schedule in consultation with the concerned Departments.

4. The syllabus and examination details shall be communicated to students in advance.

5. The respective Departments shall ensure that the prescribed portions are completed before each CIA.

4. Distribution of Internal Assessment Marks

The final Internal Assessment shall carry 50 marks, distributed as follows:

Thus, the three CIA examinations are conducted for a combined 150 marks, which is converted to 30 marks.

5. Calculation of Three CIA Marks

The marks obtained in CIA–I, CIA–II and CIA–III shall be added together.

Formula:

CIA Consolidated Marks = (CIA–I + CIA–II + CIA–III) ÷ 150 × 30

Example:

If a student obtains:

  • CIA–I = 40/50
  • CIA–II = 35/50
  • CIA–III = 45/50

Total = 120/150

Conversion: 120 ÷ 150 × 30 = 24/30

Therefore, the student’s consolidated CIA mark shall be: 24/30

6. Assignment / Academic Activity – 10 Marks

A maximum of 10 marks shall be awarded for assignments and/or approved academic activities.

The assessment may include:

  • Written assignments
  • Seminar/presentation
  • Class activity
  • Case study
  • Project/mini-project
  • Subject-related academic activity
  • Other activities approved by the Department

The concerned faculty member shall maintain appropriate records and award marks based on the prescribed criteria.

A maximum of 10 marks shall be awarded for assignments and/or approved academic activities.

7. Attendance – 10 Marks

A maximum of 10 marks shall be awarded for attendance.

Attendance marks shall be calculated based on the attendance records maintained by the Department/Academic Section and shall follow the attendance norms approved by the University.

8. Final Internal Assessment Calculation

The final Internal Assessment shall be calculated out of 50 marks.

Formula: Final Internal Assessment = CIA Consolidated (30) + Assignment (10) + Attendance (10)

Therefore, the student’s final Internal Assessment mark shall be 41 out of 50.

9. Retest Examination for Absent Students

Students who are absent for any regular CIA examination may be permitted to appear for a CIA Retest Examination, subject to university rules and approval by the competent authority.

Retest may be permitted in cases such as:

  • Medical reasons supported by valid documents.
  • Participation in University-approved academic, sports, cultural or other official activities.
  • Representing the University in approved events.
  • Other genuine reasons accepted by the competent authority.

Students seeking a Retest shall submit the prescribed application within the stipulated period.

The Retest shall be conducted for the full 50 marks of the respective CIA.

10. Improvement Examination

Students who have obtained low marks in a CIA may be permitted to appear for a CIA Improvement Examination, subject to the rules and approval of the University.

The purpose of the Improvement Examination is to provide an opportunity for students to improve their academic performance.

The Improvement Examination shall be conducted for the full 50 marks.

The marks obtained in the approved Improvement Examination shall be considered for the respective CIA in accordance with the University’s approved regulations.

11. Calculation of Retest / Improvement Marks

For Retest/Improvement cases, the examination shall be conducted for 50 marks, and the marks obtained shall be treated as the student’s valid CIA examination mark, subject to the applicable University rules.

Example: A student obtains: CIA–I = 28/50

The student subsequently appears for an approved Improvement Examination and obtains:

Improvement Examination = 42/50

The 42/50 shall be considered as the CIA–I mark, subject to the approved rules.

The same principle shall apply to CIA–II and CIA–III.

The Assignment (10 marks) and Attendance (10 marks) components shall continue to be calculated separately.

12. Retest / Improvement – Consolidated Calculation

After incorporating the approved Retest/Improvement marks, the three CIA marks shall be consolidated out of 150 marks and converted to 30 marks.

Conversion: 124 ÷ 150 × 30 = 24.8/30

Therefore, the student’s consolidated CIA mark shall be 24.8/30, subject to the University’s approved rounding rules.

13. Record Maintenance

The following records shall be maintained by the concerned Department and/or Examination Cell:

  • CIA question papers
  • CIA attendance sheets
  • Answer scripts
  • Assignment/Academic Activity records
  • CIA mark statements
  • Retest applications and supporting documents
  • Improvement examination records
  • Consolidated CIA statement
  • Final Internal Assessment statement

All marks shall be verified before submission to the Examination Cell.

14. Responsibilities

Faculty Members

Faculty members shall conduct the CIA examinations as scheduled, evaluate answer scripts, award assignment marks, maintain attendance records and submit the marks within the prescribed deadline.

Heads of Departments

The HoD shall monitor the CIA process, verify the marks, recommend eligible Retest/Improvement cases and ensure timely submission of consolidated records.

Examination Cell

The Examination Cell shall coordinate the CIA schedule, RA, timetable, seating plan, duty list, Retest/Improvement examinations, consolidation and final processing of Internal Assessment marks.

Final Policy Statement

Three CIA examinations shall be conducted in each semester, with each CIA conducted for 50 marks. The marks obtained in CIA–I, CIA–II and CIA–III shall be consolidated out of 150 marks and converted to 30 marks. Assignment/Academic Activity shall carry 10 marks and Attendance shall carry 10 marks. Thus, the total Internal Assessment shall be 50 marks. Eligible Absent students and students permitted for Improvement shall be given an opportunity to appear for the respective Retest/Improvement Examination for the full 50 marks, and the valid marks obtained shall be incorporated into the three-CIA consolidation as per the approved University regulations.
